Sign a PDF on Your iPhone Without a Printer

Quick answer: Scan the form with good light and clear edges, add a drawn or typed signature, export it as a PDF, and check every page before sending. For documents that require a particular signing method, confirm the recipient’s rules instead of assuming an electronic signature is sufficient.

Someone emails a form. You need to sign it and send it back. The traditional route is print, sign, scan, email — which requires a printer, a scanner, and both of them working on the same afternoon.

None of that is necessary. A phone camera is a better scanner than most home scanners, and a signature applied digitally is as valid as one applied in ink for the overwhelming majority of documents.

Scanning: what a phone does better

A flatbed scanner takes a flat, evenly-lit image and is bad at anything else. A phone applies perspective correction, which means it can take a photo of a document at an angle and produce a rectangle.

What matters for a good scan:

• Contrast between document and surface. White paper on a white table gives edge detection nothing to find. A dark surface is the single biggest improvement available.
• Even light, no shadow. Overhead light with you leaning over it puts your own shadow across the page. Light from the side, or from a window.
• Fill the frame. Resolution spent on the table is resolution not spent on the text.
• Flat paper. A curve becomes a distortion that perspective correction can't fully undo.

Signatures: drawn or typed

Two options, and they're not equivalent.

Drawn — you sign with a finger or stylus, once, and reuse it. Finger signatures look like finger signatures; nobody expects otherwise, and it's rarely questioned. A stylus produces something much closer to your real hand.

Typed — a name rendered in a script typeface. Fast, legible, and obviously not a reproduction of your handwriting. Fine for internal forms; some organisations won't accept it for anything binding.

For most purposes, a drawn signature placed on the PDF is what people mean when they ask for a signed copy.

Is a digital signature legally valid?

Broadly, yes, for ordinary agreements. Electronic signatures are recognised under the UK's Electronic Communications Act and eIDAS in the EU, and under the ESIGN Act in the US. An image of your signature on a PDF is a valid electronic signature for most contracts.

The exceptions are worth knowing. Wills, some property deeds, statutory declarations and certain court documents often require a wet signature and sometimes a witness. Anything sufficiently important that a solicitor is involved is worth asking about rather than assuming.

And print-sign-scan was never more secure. A scan of a signature is a picture of a signature — trivially copied, exactly like the digital one. The ritual added inconvenience, not integrity. Where genuine assurance is needed, that comes from a certificate-based digital signature or a witnessed process, neither of which is what a printer provides.

Doing it entirely offline

Documents that need signing are the ones you'd least like a third party holding: contracts, tenancy agreements, financial forms, anything with your address and date of birth. Many scanning apps upload to a server to do the processing, which means those documents are now somewhere else.

There's no technical need for that. Edge detection, perspective correction, OCR and PDF assembly can all run comfortably on a modern iPhone. If privacy matters, choose a scanner that explains which processing happens on the phone and which, if any, is sent to a server.

The practical sequence

1. Scan the document on a dark surface with side lighting.
2. Check the auto-detected edges and correct them if the crop is wrong.
3. Place the signature, and the date if the form asks for one.
4. Export as a PDF — not as photos. A form returned as four JPEGs will be sent back to you.
5. Check the exported file before sending. Signature on the right line, all pages present, right way up.

That last step catches more errors than the rest combined.

One extra use

The OCR is worth using even when nothing needs signing. A scanned document with extracted text is searchable — which turns a folder of receipts, warranties or letters from a pile of images into something you can actually find things in later.
