Looking for an app to help with this? Try Birthday Reminder & Countdowns.
Quick answer: Check where each birthday comes from before deleting anything. Keep one confirmed record per person in your chosen birthday list, decide which app sends each useful alert, and review calendar exports before importing again. A planning reminder and a birthday greeting reminder can both be useful; three identical warnings usually add work.
You might have a birthday in a contact card, a manually created calendar event, and a dedicated reminder app. That does not necessarily mean the original date is wrong. It means several tools can display or notify you about the same occasion.
Start with one person whose birthday appears twice. Fixing that example gives you a pattern to apply to the rest of the list without making a large, confusing set of changes at once.
Identify the kind of duplication
There are three different problems to investigate:
| What you see | What to inspect |
|---|---|
| Two contact cards for one person | Names, phone numbers, accounts and birthday fields |
| Two birthday events on the same day | Which calendar owns each event |
| One date but several notifications | Which apps and reminder settings generated them |
Apple says multiple birthday events can come from multiple contact cards for the same person. Its guidance also explains how to hide the Birthdays calendar while investigating duplicates. Hiding a calendar changes what you see; take time to identify the underlying record before deleting it. Apple's duplicate-calendar guidance
Make a short note of the correct name and date. If two sources disagree, ask the person or check a record you trust. A repeated date is not evidence that it is accurate.
Choose where you will maintain the date
Pick the place you will open when someone gives you a corrected birthday. Contacts is a sensible choice if you already maintain people's details there. A dedicated birthday app may suit you if you also want gift ideas and countdowns together.
This is a maintenance decision. You can still view the date elsewhere. The rule is that a correction begins in one known place, then you check any copies you deliberately created.
Do not assume that an imported contact remains continuously linked to its original card. Likewise, exporting a birthday into Calendar does not by itself establish a live connection. Unless the tool documents ongoing synchronisation, treat imports and exports as copies requiring review.
Give each reminder a job
For a person you send a message to, a reminder on the day may be enough. If you post a card or arrange a gift, add an earlier warning based on the time you need.
Write down the action beside the timing:
- Advance reminder: choose and order the present.
- A few days before: check delivery or prepare the card.
- Birthday morning: send a personal message.
These are example stages, not a requirement to set three alerts for everyone. If an alert has no distinct action, remove it from your plan. Keep the calendar entry visible if that helps with planning, but review its alerts alongside those in your birthday app.
Worked example: one birthday, two useful prompts
Suppose a friend's birthday is 18 November. You have their date in Contacts, an old annual Calendar entry, and a new record in your birthday app.
First, compare the three dates and confirm the person is the same. Next, decide that the app will handle a gift-planning prompt and the greeting on the day. Open the old Calendar event and check its own alert settings. Remove the redundant warning only after confirming you still have the reminders you intend to use.
Keep a brief gift note such as “likes illustrated maps.” Mark the purchase separately when it is made. When the early prompt arrives next year, review that note rather than buying the same thing automatically.
Finally, look at November in Calendar again. If there are still two entries, inspect their owning calendars. Do not delete the contact just to tidy the calendar view.
Where Birthday Reminder & Countdowns fits
Birthday Reminder & Countdowns lists Contacts import, multiple reminders, per-person gift ideas, and Calendar or file export. Its public description also distinguishes optional Pro widgets and iCloud sync from the basic organisation workflow. Check the current purchase screen for the features you want. Those tools support the process above, but the listing does not establish automatic duplicate detection or conflict resolution. Review a small import first. Check names and dates before bringing in a larger group, and inspect the destination before exporting the same list again.
Finish with a short maintenance pass
Once the initial cleanup is complete, check the next month's birthdays when you plan your month. Look for missing dates, duplicate people and gift tasks that need more lead time. Remove obsolete gift ideas and update a person's name if it has changed.
Keep uncertain details visibly unresolved in your own notes rather than inventing a birth year to make an age calculation look complete. If you only need to remember the day and month, those are the facts to confirm first.
A useful birthday system leaves you with an accurate date, a clear place to update it, and reminders that lead to specific actions. The final check is practical: when the next alert appears, you should know whose birthday it concerns and what you planned to do.
